Administrative Functions

Sodexo Remote Sites generally performs the following administrative services that facilitate remote camp operations

Room Registration. Sodexo will assign accommodations to authorized residents and visitors. A summary of daily registrations and departures are available to the client or it's representative.

Key System. Sodexo will maintain control of all keys or entry cards, including the capability of making keys available to new residents in an expeditions manner.

Occupancy Status. Sodexo will prepare and submit residency forms, reports and statistics on a regular basis to the project owner. The reports will provide an overview of occupancy status, including number of occupied rooms by contractor, available space and pending reservations.

Camp Regulations. Sodexo will inform all residence of Camp Rules and Regulations and the responsibility and obligations of camp residents during their stay in camp. A control register will be maintained for residents to sign, documenting that they have read and agree to all rules.

Room Status Verification. Through utilization of daily housekeeping reports, room occupancy will be physically confirmed each day as a means of verifying camp population records.

Accounting of Meals Served. Procedures will be developed in consultation with project owner for the accounting of all meals served by contractor affiliation.

Check-Out Procedures. Room of departing residents will be inventoried prior to departure to verify physical condition. Any damages will be immediately reported to project owner.

Hazard Reporting. In performing their daily duties around the camp facilities, Sodexo employees will likely be in position to note any damaged property or potential hazards. In this respect they provide an "extra set of eyes and ears" to project owner. All damages and hazards will be immediately reported.

Reporting Formats and Procedures. Sodexo will develop reports that provide project owner with all required data in formats customized for the clients easy of use.

Contract and Regulatory Compliance. Prior to the commencement of operations, Sodexo will obtain all licenses, permits and insurance coverage required by terms of the contract or by law.
